Metadata profile for MARC as used in American Memory, PPOC, and Global Gateway

American Memory is built using heterogeneous sources of metadata, using a common indexing approach.  For many collections, the source records are in the MARC format.  They may be records that are (a) maintained in the Library of Congress Integrated Library System (ILS), (b) maintained in Minaret (a MARC-based cataloging system), or (c) generated automatically from fields maintained in a relational database.  The last category are often referred to as pseudo-MARC. 


Introductory notes:

Any MARC field or subfield may be used.  Some fields and subfields are explicitly excluded from indexing and display.  A table lists fields and subfields and their treatment for indexing.  MARC fields listed in ranges in that table may be indexed but not displayed.  This may happen because a field has not occurred within the corpus and/or been identified as significant for display. 

Content of fields and subfields usually reflects LC practice, based on AACR/AACR2/LCRIs?, etc.  Many MARC records for textual material in American Memory reflect old cataloging practices.  P&P and G&M records reflect current practices of those divisions.  Some early AM collections, assembled before the support for non-MARC records was introduced in AM, reflect practices that may be further from regular LC practice, often because the content type had not been routinely cataloged at the item level except in special instances (e.g., sheet music, pamphlets) and the information available was limited to an existing inventory.

Re geographic information.  G&M has not used the 043 field (which holds Geographic Area Codes), using the 052, which is capable of representing finer levels of granularity, instead.  Many records in American Memory (primarily for maps and photographs) currently have 752 fields that would now more correctly be in 662 fields.  Records for some maps have coordinates for the map coverage in 034 fields.

In a few collections that use the MARC format (records not in the ILS), content that would normally be parsed into subfields is all in subfield $a.  

Examples come from many different records.  No single record demonstrates all the elements.  Below the table are a small set of complete records.

LC shelving and identifying information for physical originals: MARC 050, 051, 090.  Important to curatorial and reference staff.

Various location elements required by application to assemble object presentations and links in bibliographic displays: 856 $3, $d, $f, $q, $u; 859 $3, $d, $f, $q, $u.  Rough correspondence to METS functionality, but very streamlined.  The object details are detected on the fly from directories and files identified by $d, $f.  $q (object type) controls how the presentation and links are constructed.

Access management information:  PPOC controls access to some images through named aggregates.  Public users can see metadata and thumbnails for items in non-public aggregates, but not reach larger images.  Also uses special code to identify items in a non-public aggregate that may be accessed publicly.

Record grouping information:  Records are currently identified as representing an online collection (or bucket in PPOC) either implicitly, by existing as a separately managed and indexed set of records or explicitly in a 985 field.  Codes are used for COLLID.  Several values of COLLID may be combined to generate an online collection as presented to the user.  Records may have multiple 985 fields to represent different groupings (including collections and subcollections) of which they are part.


Other notes

Various complex object types use a structure that includes an optional caption/title for the subparts, optional page-numbering, and required location information.

Some collections using MARC records not in the ILS, may use certain fields in collection-specific ways:

An American Time Capsule: Three Centuries of Broadsides and Other Printed Ephemera uses MARC 515 with controlled vocabulary for folding patterns/page ordering.

William P. Gottlieb - Photographs from the Golden Age of Jazz uses MARC 653 to identify venues for photographs of musicians.

America from the Great Depression to World War II: Black-and-White Photographs from the FSA-OWI, 1935-1945 uses MARC 050 for numbers from the source negative strips.  This supports a collection-specific feature that allows uncaptioned photographs (for which no information as to location is available) can be viewed in sequence with captioned photographs on the same negative strip, allowing researchers to infer the location of many of the photographs.

Record contains only boilerplate information apart from call number, URL, and other identifier/location information.  The 050 field is used to display negatives in "neighboring call number" sequence to allow researchers to infer a likely location or context.  According to P&P about 70,000 of 171,000 records (41%) are in this state; the photographers had not provided captions for photographs that did not get selected for the next stage of the FSA workflow.  It would take several person-years of effort to provide captions manually.  Some records could be assigned time and place metadata in an automated fashion if an uncaptioned photograph was in a negative strip between two that had the same date or date and place assigned manually can be inferred to have been taken on the same date or at the same place as appropriate.
